Visa FAQs

When is the best time to apply for my visa?
The best time to apply for your visa is 1-2 months before your travel date. However, if you are running short on time, for some countries we may be able to process your visa in as little as 1 business day. For example, if you overnight your application to us on Monday, you can have it back in your hand on Wednesday with our same-day rush service.

Do I have to send you my passport to get a India visa? Is it safe to send a passport?
Yes. You will need to send your actual passport, not a copy of it. The India visa is stamped on your passport and will become one of your passport pages. Visa request cannot be processed without your original passport. Because of the importance of your passport, we strongly suggest that you send your application by a secure method, such as a guaranteed postal service or courier.

Sample of the Business Travel Requirements for an India Business Travel Visa Requirements for Belgian Citizens

  1. Passport

    The applicant's passport must:

    • Be machine readable
    • Be valid for six months beyond date of application
    • Have at least two blank facing visa pages
    • Be free of covers

  2. Proof of Residency

    A copy of both sides of the applicant's ID card

  3. Proof of Address

    Proof of residency in Belgium or Luxembourg. This must:

    • Be a tenancy agreement or a gas, electric, council tax, landline phone or water bill
    • Show the applicant’s name
    • Show the applicant’s residential address in Belgium or Luxembourg

  4. Photographs

    Two identical colour photographs. These photos are a different size than a standard Belgian passport photo.
    The photos should:

    • Be of the size of 50 mm width x 50 mm height
    • Be clear and with a continuous-tone quality
    • Have full face, front view with eyes open
    • Present full head from top of hair to bottom of chin
    • Center head within frame
    • Have a white background only. Light grey or any other colour background will not be accepted.
    • Not have any distracting shadows on the face or on the background
    • Be free of head coverings except for religious reasons, but the facial features from bottom of chin to top of forehead and both edges of the face must be clearly shown
    • Be affixed to the application form with a paperclip.

  5. Letter of Introduction

    You must provide a Letter of Introduction from the applicant's Belgian employer. All letters must be printed on company letterhead that displays a Belgian postal address. Use the sample Letter of Introduction, which can be found here, to complete your letter.

    All Letters of Introduction must be addressed to the Embassy. The address of the Embassy can be found here 


    In addition to the language provided in the sample, your Letter of Introduction must:

    • Be signed by a person mentioned in the company registration
    • Be stamped

  6. Letter of Invitation

    A letter of invitation from the company to be visited in India. This letter must:

    • Be addressed to the Embassy of India in Brussels
    • Be on company letterhead paper
    • Include the name of the applicant
    • Include the passport details of the applicant
    • Specify the purpose of journey
    • Specify the requested number of entries and the length of visa required. Please note that business visas always have to be requested as multiple entry visas with a validity of one year
    • State the location of the visiting company
    • Stamp and signature

  7. Proof of registered company

    An extract from the Belgian Chamber of Commerce. The extract must:

    • Be written in Dutch or French if bearing the details of the Belgian company or in English when bearing the details of a foreign company if applying in a foreign country is not possible
    • Be requested at the Chamber of Commerce in the municipality where the company is registered
    • Be issued within the last 6 months
    • Be written in Dutch, French or English. If the extract is written in any other language, an English translation must be submitted as well. This translation does not have to be legalised

  8. Certificate of Incorporation

    The Certificate of Incorporation of the company in India, issued at the moment of establishment.

  9. Photocopy of Application Materials

    A photocopy of the following document(s) submitted to CIBTvisas:

    • The information page of the applicant's passport
    • A copy of an old visa, if this was issued in the current passport

  10. Visa Application Form

    One fully completed and signed application form.  This form must:

    • Be completed at: https://indianvisaonline.gov.in/ . Click on the orange button labeled "Regular Visa Application" in the upper-left corner to begin the process.
    • Be completed without spelling errors
    • Have the correct national identification or citizen number entered
    • Include email address and mobile phone number of the applicant
    • Be signed in the original on both pages
    • The correct visa validity are requested
    • Be free of corrections or modifications
    • Be submitted without an uploaded passport photo. A photo is not required when completing the application form.
    • Be submitted to the Embassy within 30 days of completion

  11. Declaration Forms

    One completed and signed general declaration plus one completed and signed declaration confirming that the applicant has not travelled to a country affected by the Ebola virus

  12. Authorisation

    A duly completed and signed authorisation form. The form must be filled by the applicant. You must indicate CIBTvisas as the company authorised to lodge your application at the consulate. You will find the form in the CIBTvisas application pack.

  13. Business Additional Form

    One fully completed and signed additional form for business that can be found within the CIBTvisas Application Pack

  14. CIBTvisas Order Form

    Provide the CIBTvisas Order Form included in this kit.

    Please note that all payments will only be made upon completion of the visa application process

  15. Applicants residing outside of Belgium

    Nationals of Belgium and Luxembourg not currently living in Belgium are requested to complete and sign the additional form “Fax Message” which can be found in the CIBTvisas application pack.

    The processing time for applicants residing outside of Belgium or Luxembourg is a minimum of 10 to 12 working days

  16. New Belgian or Luxembourger Residents

    Applicants who moved to Belgium or Luxembourg less than two years ago are requested to complete and sign the additional form entitled 'Fax Message' , which can be found within the CIBT application pack.

    The field “Permanent Address” in the Fax Message form and the visa application form must indicate your address in your country of origin.

    An additional consular processing time of at least 5 Working Days applies and a supplementary consular fee of € 32,- will be charged.

  10. New Belgian or Luxembourger Residents

    Applicants who moved to Belgium or Luxembourg less than two years ago are requested to complete and sign the additional form entitled 'Fax Message' , which can be found within the CIBT application pack.

  11. Double Entry Applicants

    A double entry visa is valid for six months, of which you can stay three months in India. A double entry visa is intended for travel to India and a neighbouring country, not for a return to Belgium between  your two entries

  12. Parental permission

    One completed and signed parental declaration is required for minors and students travelling to India. The parental declaration can be found in the application pack.

  13. Particular Regions

    Applicants travelling to Leh or Ladakh must submit their travel plan with the other documents. The embassy will issue the visa with an additional endorsement for travel to these regions

  14. Student Applicants

    Applicants who moved to Belgium or Luxembourg less than two years ago are requested to complete and sign the additional form entitled 'Fax Message' , which can be found within the CIBT application pack.

    The field “Permanent Address” in the Fax Message form and the visa application form must indicate your address in your country of origin.

    An additional consular processing time of at least 5 Working Days applies and a supplementary consular fee of € 32,- will be charged.

    The visa processing time will be longer for students. The visa will only be issued after an interview with the student at the consulate. The student will receive an invitation for this interview. {B:Company Name} advises students to submit their visa application well in advance of their departure.

  15. Applicants residing outside of Belgium

    Nationals of Belgium and Luxembourg not currently living in Belgium are requested to complete and sign the additional form “Fax Message” which can be found in the CIBTvisas application pack.
